The ideal candidate will have strong attention to detail, excellent organizational skills, and the ability to manage multiple priorities in a fast-paced environment.


Key Responsibilities

Purchasing

  • Create and issue purchase orders.

  • Solicit, evaluate, and negotiate supplier quotations.

  • Maintain an approved supplier base and establish new supplier relationships.

  • Keep supplier files and records current.

  • Monitor and expedite materials and services to ensure timely delivery.

  • Process client purchase orders and internal requisitions.

Shipping & Receiving

  • Prepare required shipping documentation for domestic and international shipments.

  • Identify shipping requirements and select the appropriate carrier/method.

  • Package outgoing materials and reconcile received materials with purchase orders.

Accounts Payable & Receivable Support

  • Assist Finance by approving or seeking approval for supplier invoice payments.

  • Resolve invoice discrepancies.

  • Provide Finance with shipping-related expenses for customer orders.

  • Receive and record materials in the ERP system.

Inventory Control

  • Maintain and organize inventory facilities.

  • Monitor inventory transactions and allocate inventory as needed.

  • Adjust and reconcile inventory records; investigate discrepancies.

  • Maintain accurate documentation of all inventory activities.

Clerical & Reporting

  • Prepare reports and correspondence as required.

  • Utilize Microsoft Office (Word, Excel, Outlook) and Internet Explorer.

  • Experience with Total ETO (formerly Questica) is considered an asset.

General

  • Manage priorities and time effectively.

  • Follow detailed procedures with accuracy and attention to detail.

  • Work in an organized and professional manner.

  • Support corporate policies and objectives.

Qualifications and Job Information

Qualifications & Experience

  • Minimum of five years of experience in a purchasing role.

  • Experience with Customs documentation and compliance, including preparation of Customs forms and knowledge of HS (Harmonized System) codes

  • Familiarity with logistics processes related to international shipments and imports/exports

  • Proven track record in purchasing custom-manufactured components such as CNC-machined parts, weldments, and other fabricated items

  • Ability to evaluate supplier quotations, negotiate pricing, and ensure quality for custom-engineered components

  • Strong organizational skills with attention to detail in tracking, documentation, and supplier communication

  • Post-secondary education in purchasing, supply chain, or materials management is preferred.

  • Strong written and verbal communication skills in English.

  • Proficiency with Microsoft Office tools; ERP system experience is an asset.

  • Proven ability to manage multiple responsibilities in a detail-oriented manner.
